Congregational Care/ Event Support Position


This position is relational and focuses on Church-wide Events, Outreach/Worship Pastor, Youth pastor, Children’s director, Head Pastor, and Office Administrator with church events and volunteer care. This position would help to take more of the burden off the administrative tasks from the Children’s Director, Worship, Outreach, and Youth pastor(s) and Admin Staff. This person would need to be people-centric and outgoing- able to motivate, encourage, excite, and draw church congregation into volunteering and participating in Church events. This position also needs someone who is highly detail focused and administrative. Able to manage time well, foresee and follow through with all the behind-the-scenes details, organization, ordering and communication to plan events and groups of people. The duties would include Point of contact and support for volunteer teams- Coffee, Greeters, Ushers, Small Group leaders, Care group, prayer team, special events on Sunday mornings, etc. Event planning-Sutter Street, Trunk or Treat, Prayer Retreat, Volunteer Appreciations, Congregational meetings, Memorial Day Picnic, Mothers & Fathers Day, and assisting with summer youth events, children’s events, staff and volunteer events.

Volunteer Management and Communication:
  • Assisting our Small Group Coordinator and Small Group Leaders
  • Managing our Coffee Volunteers
  • Managing our Ushers and Greeters
  • Assist Community Care Group Leader
  • Coordinate with Missionaries for Sunday morning needs.
  • Assistant to Department Heads:
  •        Assist Children’s Ministry Coordinator with volunteers, special events and tasks as needed.
  •       Assist Youth Pastor with administration details for events and outreach.
  •       Assist Worship Pastor with events and volunteers.
  •      Take direction, tasks and deadlines from the Office Administrator for events, devotions, budget planning, congregation needs, and other tasks that arise as needed.


Organizing Events:
  • Be the point person for communication for events (for hosts, staff, and volunteers)
  • Check calendar for availability of church wide or private events
  • For private events, fill out facility rental forms and organize and schedule people to provide services for Tech, sound, Pastor, Janitorial, Set up crew and instrumentalist if needed.
  • Collect fees due as well as proof of insurance (if the host is a guest) one week prior to the event date and make sure persons provided services are paid in advance of the event.
  • For church wide events, organize event flow as well as volunteers to serve, set up, and clean up events.
  • Submit all reimbursements for supplies for the event no later than one week after the event has passed.
  • Report to the Office Administrator for tasks and accountability.
  • Event decor and sign-up area within the church lobby.


Summary of General Qualifications
  • A faithful believer and member or regular attender of Community Bible Church who is committed to the church and engaged in the life of the church.
  • Able to work well with people. Be a team player.
  • An effective planner and organizer of events.
  • Able to maintain confidentiality.
  • Competent with use of Google Suites.
  • Answering phones, greeting those who come into the office, answering
  • Emails, sending emails and general printing.
  • Helping staff plan and organize calendar for their ministry area, scheduling volunteer teams as needed, organizing events, communicating updates to Website Manager/Office Administrator, maintaining inventory of various supplies.
  • Motivate church-wide participation.


Other Possible duties:
  • If asked, assist with holiday decor and Worship Center stage design.
  • Special Assignments as assigned from the Office Administrator or Department heads.
  • Coordinating gifts for staff or volunteers as needed.
  • *If the position is open and fitting, this Social Media Coordinator position can also fall under the Event job position.
  •              Duties may include but are not limited to: Social media planning and posts. Photography and videography of events and promotional materials.
  •             Working under the Office Administrator and with each department head on their social media needs and approval.
